Overview
Sending out proposals after a client call is a time-consuming process that often delays follow-ups and impacts conversion rates. We implemented an automation using Make.com to streamline the entire workflow. From recording and transcribing meetings to generating structured proposals and storing them in an organized system, this automation eliminates manual work, ensuring faster and more professional client communication.
Challenge
Manually drafting proposals after calls was inefficient and inconsistent. Business owners spent valuable time taking notes, formatting documents, and structuring proposals, often leading to delays and missed opportunities. Inconsistencies in proposal quality also made follow-ups feel less polished, impacting the overall professionalism of the business. Our client needed an automated solution that would speed up this process while maintaining clarity, structure, and accuracy.
Solution
We built an automation that handles proposal creation from start to finish. When a Zoom meeting ends, the recording is saved to Google Drive. Make.com detects the new file, downloads it, and processes it through OpenAI Whisper to transcribe the audio into text. The transcript is then sent to ChatGPT, which structures it into a well-formatted proposal based on a predefined prompt. The finalized proposal is saved as a Google Doc, automatically named based on the meeting title and stored in a dedicated folder. By eliminating the need for manual transcription, formatting, and document organization, this automation saves hours of repetitive work each week, speeds up follow-ups, and ensures a consistently professional presentation for every client.
